Fairhaven Golf Club is officially recognised as one of the finest championship courses in the north of England, offering golfers a breathtaking sanctuary to play golf. It is located 1-mile from the seaside town of Lytham, with neighbouring courses of Royal Lytham & St Annes, St Annes Old Links and Lytham Green Drive providing exceptional golfing opportunities in the local area.
Established in 1895, the club has built a strong affinity with hosting international events, in Open Qualifying, proudly hosting the annual Fairhaven Trophies which boasts former winners including Ludvig Aberg.
The Course: Sharing the historic grounds of Lytham Hall, Fairhaven provides a golfing journey like no other, bringing together the desirable links style challenges of the rolling dunes, fescue topped grasslands and revetted bunkers. Unlike other courses, it uniquely introduces a blend of heathland and parkland golf into its links features, providing a charismatic charm like no other golfing experience. Most recently, the club endorsed a golf course masterplan developed under the expert eyes of Martin Ebert.
The Club, Membership and Facilities: It was in 1924 that the club moved to its current location, representing its progressive nature all those years ago. Throughout the years, Fairhaven has continued to demonstrate its progression with significant investment across many areas, most recently a full clubhouse refurbishment.
The club currently has an active membership generating a healthy community culture within. Members and guests can not only enjoy a first class golfing experience, but are able to access a wide range of facilities including a practice ground in close proximity to the clubhouse, state of the art clubhouse facilities and a reflective ambiance, a renowned clubhouse service.
JOB DESCRIPTION: ASSISTANT MANAGER
OVERALL JOB PURPOSE:
To ensure the smooth running of general administration for all golf services including tee times, membership, bar card services, enquiries, trolley sheds and lockers. To work closely with the General Manager and committees to ensure golf services are up to date, relevant and are in line with the Board’s policies, procedures and business plans. The Assistant Manager will assume as necessary the responsibilities of the General Manager during periods of leave.
PRINCIPLE ACCOUNTABILITIES – ADMINISTRATION
- Implement and maintain office systems for the preparation and management of correspondence, reports, minutes and documents.
- Circulate notices, agendas and minutes of the AGM, Board meetings or other meetings as required in support of Club activities or business meetings.
- Provide an administration service to any of the Club’s sub-committees as necessary.
- Monitor clubhouse door entry system/alarm system/weekly change of codes/amend users where necessary.
- Monitor clubhouse CCTV system.
- Maintain and administer the endorsed Direct Debit facility/scheme for members.
- Process/authorise BACS payments in conjunction with Accounts Manager.
- Liaise with the Club Captains and any sub-committee Chairs on a regular basis and ensure they are fully briefed on matters that may require their respective attention.
- Service and maintain the Club computer records and produce reports when requested by the General Manager or the Board. These activities will involve:
~Maintenance of and provision of reports from the membership database.
~Preparation of new member/subscription notification letters and maintaining payment records.
~Maintain, arrange and administer land purchase loan records including payment of redemption monies and providing CT61 details to accountants.
~Provide support to the membership sub-committee in respect of new member applications, waiting list status and interviews.
~Order/issue club bar cards and maintain the associated computer records/provide reports as necessary.
~Maintain the events and function diary.
~Assist in the maintenance of the club’s financial records using relevant software. Provide financial reports to the Finance Director, General Manager and Stocktaker as necessary.
- Oversee the administration of all enquiries coming in to the administration office, from Golf to Food and Beverage.
GOLF & MARKETING RESPONSIBILITIES:
- To oversee the construction of the annual fixture list by liaising with all key stakeholders and committees.
- Manage and maintain the effective operation of the BRS and competition booking systems by liaison with the relevant committee, members, visitors, Professional and system support contractors.
- To have an understanding of the rules of golf.
- Deal with queries from members, visitors and personal callers together with telephone, email and website enquiries across the spectrum of golf club activities in a manner which supplements the excellent onsite experience.
- To develop and maintain a strong rapport with key stakeholders, including Tour Operators and club guests.
- To oversee the delivery of the clubs visitor revenue budget through proactive oversight and consumer engagement.
- Process all visiting party and major competitions / events / Open bookings and ensure through liaison with the Professional/Starter/F&B Manager that all party requirements are provided. Record entries and reconcile fees paid, issue invoices as necessary.
- To support the Marketing Committee through:
~ The maintenance of the Club website for members and guests alike.
~ Provide support for continued social media activities.
~ Implementing committee decisions, strategies and initiatives.
QUALIFICATIONS AND SKILLS:

- Exceptional customer service skills with a proven record of key account management across varying stakeholders, maintaining satisfaction at all times.
